Terms of service

These terms are the agreement between Rotabee Ltd and the business that signs up. We've kept them short and in plain English. By starting a plan, you agree to them.

Last updated 1 November 2026. Rotabee is a fictional company, so this is sample text written for a demo site.

1. Your account

You need to be 18 or over and able to sign up on behalf of your business. You're responsible for everything done under your account, including by the managers you add.

  • Keep your password safe, and turn on two-factor sign-in
  • Tell us straight away if you think someone else has access
  • Only add staff whose details you're allowed to share with us

2. Plans and prices

  • Solo: £9 a month for 1 site and up to 8 staff
  • Team: £29 a month for up to 3 sites and 40 staff
  • Group: priced individually, set out in a separate order form

Prices are per month and exclude tax, which we add where the law requires it. Staff never pay for the app.

If you go over your plan's limits, we let you know and give you 14 days to move up a plan or remove staff before anything changes.

3. Billing and payment

Every plan starts with a 14-day free trial, with no card needed. If you don't subscribe by the end, your account becomes read-only.

Plans are paid monthly in advance, by card through Stripe. Your plan renews on the same date each month until you cancel.

  • If a payment fails, we try again over 7 days and email you each time
  • After 14 days unpaid, your account becomes read-only: you can still see and export rotas but not publish new ones
  • Moving up a plan takes effect right away, and you pay the difference for the rest of the month
  • Moving down a plan takes effect from your next billing date

We tell you at least 30 days before any price change.

4. Cancelling and refunds

You can cancel at any time in Settings → Billing. Your plan stays active until the end of the month you've paid for, and then stops. There are no cancellation fees.

We don't refund part months, except where the law requires it or if Rotabee was unavailable for more than 24 hours in that month. In that case, ask and we refund the whole month.

5. Your data

Your rotas, staff lists and settings belong to you. You give us permission to store and process them only so we can run Rotabee for you.

  • Export everything as CSV at any time, including after you cancel
  • After you close your account, we keep your data for 30 days so you can come back, then delete it
  • How we handle personal data is set out in our Privacy policy

6. Acceptable use

Please don't:

  • Use Rotabee to break employment law, for example by scheduling shifts that ignore legal rest breaks on purpose
  • Send spam or unrelated messages to staff through the app
  • Try to get into other customers' accounts, or test our security without written permission
  • Copy, resell or rebuild the service

If you do, we may suspend your account. We warn you first unless the problem is serious or urgent.

7. Our service

We aim for Rotabee to be available 99.9% of the time each month, and we announce planned maintenance at least 48 hours ahead, outside opening hours where we can.

We improve Rotabee all the time. If we remove a feature you rely on, we tell you at least 60 days before, and you can cancel with a refund for any month you've paid in advance.

8. Responsibility and liability

Rotabee helps you plan shifts, but you stay responsible for your staffing decisions and for following employment law.

Our total liability to you in any 12 months is limited to what you paid us in those 12 months. We are not liable for lost profits or other indirect losses. Nothing in these terms limits liability that can't be limited by law, such as for fraud.

9. Changes to these terms

We email account owners at least 30 days before changes take effect. If you don't agree, you can cancel before then and nothing changes for you until your plan ends.

10. Law and contact

These terms are governed by the law of England and Wales, and its courts settle any dispute.

Questions about these terms go to hello@rotabee.example.
